Your employer has not approved your KYC
You completed your side of KYC. It is sitting unapproved in your employer's EPFO login. Nothing you do on your own portal will clear this — the action is entirely theirs.
Whose job it is to fix it
Your employer
Nothing you do on your own account will clear it. It needs their login or their signature.
Raised at the Dealing Assistant / Social Security Assistant desk. Done correctly, this usually clears in about 18 days.

Write to the employer's PF contact naming the exact KYC item pending and the date you submitted it. Keep it in writing — you will need the trail.
नियोक्ता के PF प्रभारी को लिखें, लंबित KYC मद और जमा करने की तिथि स्पष्ट रूप से बताएँ। लिखित रखें — आगे इसकी ज़रूरत पड़ेगी।

Employer approves the KYC using a registered digital signature or e-Sign. If their signatory has changed, they must re-register first.
नियोक्ता पंजीकृत डिजिटल हस्ताक्षर या e-Sign से KYC स्वीकृत करे। यदि हस्ताक्षरकर्ता बदला है, तो पहले पुनः पंजीकरण करें।

If the employer does not act within a fortnight, escalate to EPFiGMS naming the establishment code. EPFO can compel an establishment; it cannot compel you.
यदि नियोक्ता पंद्रह दिन में कार्रवाई न करे, तो प्रतिष्ठान कोड सहित EPFiGMS पर शिकायत करें। EPFO प्रतिष्ठान को बाध्य कर सकता है।

And if there is no employer to ask?
One of the steps above belongs to your establishment. If it has closed, will not reply, or cannot be found, none of them can be followed as written — and that is where most people are told the matter ends.
It does not. What your employer would attest, they already filed with EPFO every month, under their own signature. The office is holding it. And one of the routes round it needs nobody’s agreement at all.
- The claim that never needed them — Where your UAN is Aadhaar-verified and your bank is seeded, a claim carries no employer attestation at all.
- Ask the office to read its own file — Everything the employer would attest, they already filed. Monthly. Under the same establishment code.
- Compel the answer — An RTI application about the establishment's status and its returns must be answered in thirty days.
Why the message could not tell you any of this
Employer approval requires a registered Digital Signature Certificate or e-Sign. When a company's authorised signatory leaves and the certificate is not re-registered, every pending KYC in that establishment freezes at once. Members read it as a personal problem; it is usually an establishment-wide outage nobody has announced.
Produced by an independent prototype of a provident fund member portal. Not an official EPFO document and not legal advice.
There are 4 letters for this
Each one is drafted with your own details and the correct statutory wording, ready to send yourself. No account, no sign-in, and nothing sent anywhere — they are assembled in your browser from eight things on the message that rejected you. Nothing is filed on your behalf.
- Letter to your employerAsks your employer for the one action only they can take, in writing, with a date on it.
- EPFiGMS grievanceRegisters the complaint inside EPFO and puts a dated reference number on it.
- CPGRAMS escalationTakes the matter above the Regional Office, to the Ministry of Labour and Employment.
- RTI application for the note sheetCompels EPFO to hand over the internal file noting on your own claim — the reason you were never shown.
If nothing moves
The twenty-day settlement commitment restarts every time a desk returns the file, so it can be exceeded indefinitely without ever being formally breached. An RTI application about your own file must be answered in thirty days, and silence past that is a deemed refusal that opens an appeal — and a penalty on the officer personally.
